Administrative Assistant/Program Assistant

The Ohio Society of Professional Engineers (OSPE) is a 501(c)(6) professional society representing Ohio’s licensed professional engineers. They provide continuing education, professional programs and advocacy. They also work with a related 501(c)(3) organization, the Engineers Foundation of Ohio (EFO), to provide professional education and charitable programs.
Position Description:
Reporting to the executive director, the position is responsible for assisting in the management, committee support, fundraising and membership administration and event planning of OSPE and EFO.
This position requires a strong member and donor focus, attention to detail, reliability and ability to work independently without constant supervision.
Key Responsibilities:
- Assist executive director with board meeting & committee administration, including preparation and distribution of OSPE/EFO board & executive committee meeting notices, agendas and minutes.
- Management of administrative programs, such as the Joint Associations Meeting, EFO Scholarship program, OSPE Awards Program, direct mail fundraising program and Benefit Golf Outing.
- Process mail, incoming phone calls, income and prepare deposits.
- Manage internal administrative publication, member programs and vendor & contractor relationships.
- Assist in editing, proofing, printing and bulk mail fulfillment projects and record keeping.
- Assist in maintaining website and keeping content timely.
- Assist with in-person and virtual events, meetings and seminars.
- Assist with membership recruitment & retention and fundraising programs.
- Some travel required.
- Additional duties as assigned.
Candidate Desired Qualifications:
- Some college or equivalent years of experience required.
- Minimum of two year’s work experience in nonprofit programming or administration preferred.
- Excellent writing, editing and interpersonal skills required.
- Knowledge of Word and Excel required.
- Knowledge of QuickBooks and InDesign graphic design software desirable.
- Strong attention to detail and accuracy.
- Well organized and self-motivated; must perform functions and meet deadlines with minimal supervision.
- Ability to work effectively under deadlines.
