Member Services and Executive Support Manager

Position Summary:

The U.S. Women’s Health Alliance (USWHA) is seeking a new member of our management team to lead membership engagement initiatives and provide executive support. The member services and executive support manager works closely with the executive director to carry out the administrative duties of the organization while managing valuable relationships and communications with member groups and their representatives.

This role is multi-faceted and ranges from supporting the planning of national conferences and webinars to providing excellent member service to USWHA’s 125 member groups. The ideal candidate for this job is a detail-oriented self-starter with member services management experience who embraces and excels at taking on diverse projects ranging in scale and scope.

Strong organizational skills, excellent written/oral communications, and the ability to quickly learn and utilize various modes of technology, including membership database software, are imperative for this position. Experience in the healthcare field is a plus.

Key Responsibilities:

  • Serve as point person for member groups, providing support and information regarding member benefits, opportunities, and resources
  • Help create and refine strategies for member engagement and access to benefits
  • Handle administrative functions including scheduling/calendar management; maintaining up-to-date member information in the database; and ensuring that key files, documents, and reports are current and accessible
  • Support association governance in helping plan and attending in-person and virtual board of directors and executive committee meetings, as well as managing meeting minutes, board votes, and committee reports
  • Act as a key staff support to the executive director and/or the event planner for two yearly national conferences and two onsite executive committee retreats
  • Oversee and collaborate on specific digital communications including managing the setup and support for webinars and virtual meetings via Zoom; creating slide decks for presentations; helping proofread communications; drafting and distributing messaging to member groups
  • Provide support to the executive director on any association initiatives including, but not limited to, advocacy, leadership relations, programming, organizational strategy and logistics, and meeting and event planning; may serve as project manager on some initiatives

Position Qualifications:

  • Bachelor’s degree or higher
  • Minimum of two year’s experience in organizational membership management; experience in executive/administrative/board of directors support a plus
  • Experience with membership database platforms (Member Clicks Atlas/MC Trade a plus)
  • Mastery of business software platforms including Microsoft Word, Excel, Outlook, PowerPoint, and Survey Monkey (knowledge of imaging editing, Canva, and/or email marketing software a plus)
  • Strong written and verbal communication skills; excellent grammar, writing, and editing skills
  • Excellent critical thinking skills and independent decision-making ability
  • Confidence, professionalism, and diplomacy when dealing with leaders; discretion when dealing with confidential documents and information
  • Flexibility to move between diverse projects with ease
  • Easily adaptable to understanding and supporting the mission, structure, culture, and needs of the U.S. Women’s Health Alliance
