Office Manager/Accounting Coordinator

Position Summary:

The Ohio Poultry Association (OPA) is a dynamic organization representing Ohio’s egg, turkey and
chicken farms, processing and allied industries. Caring for consumers and Ohio poultry farms by
providing leadership to responsibly produce safe, affordable, and wholesome food is our prime mission.

OPA is seeking a dynamic office manager which will also serve as administrative assistant and
accounting coordinator.  This individual will provide daily administrative support to the executive vice president and the OPA staff. They will administer the day-to-day financial operations of the office. This position also serves as the facilities manager for the physical location of the association. The individual will organize any necessary maintenance or services for basic office function. This position is 25-30 hours per week with the opportunity to grow into full-time as additional responsibilities are mastered.

Responsibilities:

Association Administration and Office Management

  • Provide daily administrative support to the executive vice president and the OPA staff
  • Screening and handling incoming phone calls, emails and correspondence
  • Maintain OPA databases and file storage
  • Work with the OPA staff to coordinate calendars
  • Support OPA Bird Health Programs Team with Ohio NPIP databases
  • Support OPA Promotions, Events and Programs Team with databases and record keeping
  • Support OPA Food Service Contractors with in-house paperwork, contracts, database, and record keeping
  • Coordinate use of the common office space and assist in preparations when required
  • Maintain contracts, service agreements, etc. on all OPA office and building equipment
  • Schedule and coordinate all maintenance and upkeep of 707 South Front Street Building
  • Coordinate onsite and off-site storage

Financial/Accounting/Bookkeeping:

  • Maintaining accounts payable through our bill pay software
  • Manage invoicing and create deposits
  • Support OPA Bird Health Team on USDA cooperative agreement finances and Ohio NPIP invoicing, accounts payable and payment processing
  • Support OPA promotions, events and programs team on program and event invoicing, accounts
    payable and payment processing
  • Support OPA food service contractors with accounts, payable, accounts receivable and banking
  • Maintain appropriate financial records in accordance with OPA’s record retention policy
  • Prepare for regular outside accounting oversight, yearly audits and budgets
  • Other Duties:
    Assist OPA staff on industry-wide events, programs, and projects such as OPA’s annual banquet and
    golf outing

Required Qualifications:

  • Minimum of one-year office-based experience
  • Bachelor’s degree preferred
  • Demonstrated organizational skills, ability to think and act strategically with the capacity for growth in strategic thinking ability
  • Strong problem-solving skills, and proven project management and continuous improvement experience, detail-oriented and able to prioritize tasks, balance multiple priorities and meet deadlines
  • Open and direct communicator; oral and written communication skills are essential
  • Full commitment to the position in terms of time commitments and expectations
  • Regular communication with EVP is required for work hours and work from home policies
  • Participation in Monday morning staff meetings to set the weekly schedule is required
  • Focus on accuracy and detail
  • Sound judgment and unwavering ethics
  • Self-motivation, independent work habits
  • Strong computer skills and highly proficient with Microsoft Office Suite of software programs
